Axxess Palliative Care now provides a time-based calculator that users can activate for individual fee schedule categories in each payer’s setup. Activating the time-based calculator will enable users to enter custom times for visit time, documentation time, preparation time, care coordination time and advance care planning time in each visit. Based on the custom times entered, the system will calculate and display the total billable encounter time on the last screen of the visit, so users can select the appropriate CPT codes based on the documented time.
This enhancement streamlines operations and facilitates compliance by helping users select the most appropriate CPT codes for billing.
To activate the time-based calculator for a payer’s fee schedule categories, users must have permission to edit insurance/payers and authorizations in Axxess Palliative Care.
To give a user permission to edit insurance/payers and authorizations, edit the user’s profile and navigate to the Permissions tab. In the Administration section, select Edit next to the Insurance/Payers and Authorizations permission. Click Save to finish granting the permission to the user.

To activate the time-based calculator for a payer’s fee schedule categories, navigate to the three-line menu in the top-right corner of the screen and select Insurance/Payers.
On the Insurance/Payers screen, click Add Insurance/Payer to add a new insurance/payer or navigate to an existing insurance/payer and select Edit under Actions.
On the Insurance/Payer Details tab, enter the the bill type in the Bill Type field, select the checkbox next to Bill for physician services and navigate to the Fee Schedule tab.
In the Provider Fee Schedule section, select Add Category to add a new category or click the edit icon under Actions next to an existing category to turn on the calculator.
If you choose to edit an existing category, select the checkbox under the Time-Based Calculator column and click Save to activate the calculator.
If you choose to add a new category, complete the required fields in the Add Category window and select the checkbox next to Time-Based Calculator under Billing Calculators. Click Save to finish adding the category with the calculator enabled.
The new category will be added to the table under Provider Fee Schedule. If the time-based calculator has been turned on, the Time-Based Calculator column will say Yes.
Once the time-based calculator is activated, users can enter custom times for visit time, documentation time, preparation time, care coordination time and advance care planning time in the Visit Information, Advance Care Planning and Goals, Coordination of Care and Assessment and Plan sections of visits.
Times entered on a visit will appear in the Patient Encounter Time (Minutes) section on the last screen the visit.
